Your Cost Consult Utilities is a trading name of Your Cost Consult Limited (company number 17238761), registered at 5 Glen Avenue, Bolton, BL4 8QW, United Kingdom. Your Cost Consult Limited is the controller responsible for your personal data within the meaning of UK data protection law.

2. What data we collect

We collect the following categories of personal and business data when you use our services:

  • Business name, registered address and Companies House number
  • Contact name, email address and telephone number
  • Utility account and usage data (e.g. annual spend, MPAN, MPRN, current supplier, contract end dates)
  • Uploaded utility bills and associated documents
  • Communications with us, including call recordings where applicable
  • Additional support preferences you choose to share with us
  • Marketing preferences
  • Complaint information you provide to us

3. How we use your data and our lawful bases

We use your data to:

  • Source and present commercial utility quotations from our approved supplier panel
  • Contact you to discuss your quotation and preferred options
  • Process and manage your utility switch
  • Handle any complaint you raise with us
  • Provide the additional support you have requested
  • Comply with our legal and regulatory obligations
  • Send marketing where you have separately consented to it

We process your data on the following lawful bases:

  • Contract performance — to take steps to arrange the quotation or contract you have requested
  • Legitimate interests — to operate our business, improve our service and prevent fraud, where this does not override your rights
  • Legal obligation — where we are required to by law
  • Consent — where you have explicitly agreed, for example to receive marketing or to allow analytics cookies

4. Sharing your data

We share your data only as necessary to provide the service you have asked for:

  • Utility suppliers — to obtain quotations and arrange a contract with the supplier you choose
  • Principal brokerage partners — where quotations are arranged through a principal brokerage arrangement
  • Service providers / technology partners — secure hosting and platform providers that help us run our service
  • Legal authorities and regulators — where we are required to by law

We do not sell your personal data to third parties.

5. Call recording and contract evidence

Where we record telephone calls, we do so for training, quality and record-keeping purposes, and to keep evidence of instructions you give us in relation to a contract. Calls may be retained for a reasonable period and are not shared except as described in this policy. Contract evidence (including any recorded verbal instruction) is kept for the duration of the contract and for our usual retention period afterwards.

6. Complaint handling

We process the information you give us when making a complaint in order to investigate and resolve it. Complaint information is held securely and access is limited to those who handle complaints. See our Complaints page for details of our process and independent dispute resolution.

7. Fraud prevention and security

We may process data, including personal data, to prevent fraud and protect the security of our business and customers. We only share information for these purposes where it is lawful and proportionate to do so.

8. Data retention

We keep your data only for as long as necessary for the purposes set out in this policy, or as required by law. As a general guide, quotation and contract records are retained for up to six years following the end of our engagement or the end of the relevant supply contract, and complaint records are kept for six years. Marketing preferences are kept until you ask us to stop.

9. Your rights and the ICO

Under UK GDPR you have the right to:

  • Be informed about how we use your data
  • Access a copy of the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request erasure of your data, subject to legal obligations
  • Object to or restrict processing
  • Receive your data in a portable format
  • Withdraw consent at any time, where we rely on it

10. Marketing

We will only send you marketing where you have separately opted in, and only by the means you have chosen. Marketing consent is never required to obtain a quotation and is never bundled into accepting an offer or a contract. You can opt out at any time — unsubscribe from any marketing email or email us at utilities@yourcostconsult.co.uk. Service communications about your quotation or contract are kept separate from marketing.

Our customers include limited companies, LLPs, partnerships and sole traders. The marketing rules that apply may differ depending on your business type; we apply a clear opt-out regardless of your business type.

11. Cookies and analytics

We use essential cookies to keep you signed in and make the website work. We do not use advertising cookies. Any analytics cookies are only placed after you have accepted them through our cookie banner. For full details, see our Cookie Policy.

12. International transfers

We do not routinely transfer your personal data outside the United Kingdom. If we ever need to do so, we will ensure an appropriate safeguard is in place, such as the UK International Data Transfer Agreement or recognised adequacy, and we will only transfer what is necessary. If this changes, we will update this policy.

13. Changes to this policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. We encourage you to review it periodically.
